Privacy Policy

Effective date: October 20, 2026

This Privacy Policy explains how Mindscope FZC, the company behind Tellerdesk ("Tellerdesk", "we", "us", or "our"), collects, uses, stores, shares, and protects personal information when you use the Tellerdesk website, platform, applications, connected communication channels, and related services (collectively, the "Services").

Tellerdesk is an omnichannel customer communication platform designed to help businesses manage customer conversations, leads, customer information, team collaboration, automation, AI-assisted interactions, and reporting from one workspace.

By accessing or using the Services, you acknowledge the practices described in this Privacy Policy.

1. Who this Privacy Policy applies to

This Privacy Policy may apply to:

  • Business customers — companies, organisations, and authorised representatives that subscribe to or use Tellerdesk.
  • Authorised users — employees, agents, administrators, managers, and other users authorised by a business customer to access a Tellerdesk workspace.
  • End customers and contacts — individuals who communicate with a Tellerdesk customer through channels such as WhatsApp, Messenger, Instagram, email, website chat, SMS, telephone, social comments, or lead forms.
  • Website visitors — individuals who visit Tellerdesk websites or submit enquiries through them.

Where Tellerdesk processes personal information on behalf of a business customer, the business customer normally determines why and how that information is processed.

In those circumstances, the business customer acts as the relevant data controller or business, while Tellerdesk acts as a data processor or service provider, subject to applicable law and contractual arrangements.

2. Information we may collect

2.1 Account and business information

When a business registers for or uses Tellerdesk, we may collect information such as:

  • name;
  • business or organisation name;
  • email address;
  • telephone number;
  • job title or role;
  • account and workspace information;
  • team and user details;
  • business operating information;
  • connected communication channels;
  • business hours;
  • tags, statuses, assignment rules, and workflow configuration;
  • subscription and plan information.

2.2 Customer conversation information

When communication channels are connected to Tellerdesk, the platform may process information contained in customer interactions, including:

  • message content;
  • sender and recipient information;
  • telephone numbers;
  • email addresses;
  • names;
  • message timestamps;
  • attachments;
  • images;
  • audio;
  • video;
  • voice notes;
  • conversation history;
  • delivery and read status;
  • call information;
  • SMS information;
  • customer notes;
  • tags;
  • assigned agents;
  • conversation status.

Tellerdesk supports multiple communication channels within a unified workspace.

2.3 Contact and customer profile information

Tellerdesk may create or maintain customer records containing information such as:

  • customer name;
  • telephone number;
  • email address;
  • communication channels;
  • conversation history;
  • tags;
  • notes;
  • assigned team or agent;
  • status;
  • customer interactions;
  • lead information;
  • related transaction or booking information where configured by the customer.

Tellerdesk can also associate conversations from different supported channels with a single customer record where matching information is available.

3. Information from connected communication services

Tellerdesk allows business customers to connect supported third-party communication services.

Depending on the services a customer connects, Tellerdesk may receive information from platforms such as:

  • WhatsApp Business;
  • Facebook Messenger;
  • Instagram;
  • Meta Lead Ads;
  • email providers;
  • SMS providers;
  • voice and calling providers;
  • website chat;
  • other customer-authorised integrations.

The information received depends on the permissions granted by the business customer and the capabilities of the connected service. It may include:

  • messages;
  • contact details;
  • media;
  • comments;
  • lead-form responses;
  • campaign information;
  • call information;
  • delivery information;
  • channel identifiers;
  • interaction metadata.

Business customers are responsible for ensuring that their use of connected channels complies with applicable platform rules and privacy requirements.

4. Meta Lead Ads and social interactions

Where a business customer connects Facebook or Instagram services, Tellerdesk may process information provided through Meta Lead Ads or social interactions. This may include:

  • lead-form answers;
  • name;
  • email;
  • telephone number;
  • campaign information;
  • ad set information;
  • lead source;
  • associated social account information.

Tellerdesk may also enable authorised users to view and manage supported Facebook and Instagram comments, reply publicly, moderate comments, or continue supported interactions privately.

The business customer is responsible for its own advertising, consent, lead-generation, and follow-up practices.

5. Email information

If a business connects an email account to Tellerdesk, we may process:

  • sender and recipient addresses;
  • sender names;
  • email subjects;
  • email body content;
  • email attachments;
  • timestamps;
  • message identifiers;
  • conversation threads.

Connected email conversations may appear in the Tellerdesk unified inbox so authorised team members can respond and manage the customer relationship.

6. Voice and SMS information

Where voice or SMS services are enabled, Tellerdesk may process:

  • telephone numbers;
  • call timestamps;
  • call status;
  • call duration;
  • SMS message content;
  • SMS delivery status;
  • applicable usage information.

If call recording is enabled by a business customer, call recordings may also be processed and stored.

The business customer is responsible for ensuring that any call recording is used in accordance with applicable laws, including any required notice or consent.

7. AI features and knowledge sources

Tellerdesk includes AI-assisted features, including website chat and tools that may assist customer service teams. Where AI features are used, Tellerdesk may process:

  • customer questions;
  • conversation context;
  • authorised business knowledge;
  • uploaded text;
  • PDF documents;
  • Word documents;
  • public web content configured by the business;
  • AI-generated replies;
  • AI confidence and escalation information.

The Tellerdesk website chat feature is designed to respond using relevant information from the business customer's configured knowledge sources and may hand the conversation to a human agent where necessary.

Information may be transmitted to approved AI or language-processing service providers where necessary to provide these features.

Business customers should not upload information to an AI knowledge base unless they have the right to process that information.

8. Information collected automatically

When users access Tellerdesk, we may automatically collect technical information required for operation, security, troubleshooting, and performance monitoring. This may include:

  • IP address;
  • browser information;
  • device information;
  • login activity;
  • session information;
  • page or feature activity;
  • timestamps;
  • system events;
  • error information;
  • security events;
  • communication delivery events.

We may use this information to maintain the reliability and security of the Services.

9. How we use information

We may process information to:

  • provide the Tellerdesk platform;
  • create and manage customer workspaces;

  • enable internal notes and tags;
  • operate AI-assisted functionality;

  • capture and manage leads;

  • protect the security of Tellerdesk;
  • comply with applicable legal obligations;
  • enforce our agreements and policies.

10. Legal bases for processing

Where applicable data protection laws require a legal basis, personal information may be processed on the basis of:

  • Performance of a contract — where processing is necessary to provide Tellerdesk or fulfil contractual obligations.
  • Legitimate interests — including platform security, product improvement, fraud prevention, service administration, and business operations where permitted by law.
  • Legal obligations — where processing is required to comply with applicable laws or lawful requests.
  • Consent — where consent is required, including for certain communications, cookies, integrations, or processing activities.

Where Tellerdesk acts as a processor for a business customer, we process the relevant customer data according to the customer's instructions and the applicable service agreement.

11. How we share information

We do not sell personal information. Information may be shared with the following categories of recipients where necessary.

Service providers

We may use third-party vendors to provide services such as:

  • cloud infrastructure;
  • communication delivery;
  • email services;
  • calling and SMS;
  • payment processing;
  • AI processing;
  • translation;
  • analytics;
  • technical support;
  • data storage.

These providers may process information only as required to deliver the relevant service.

Connected platforms

Where a customer chooses to connect an external platform, information may be exchanged with that platform as required for the integration to operate. Examples may include:

  • Meta platforms;
  • email providers;
  • calling and messaging providers;
  • payment providers;
  • automation or integration services.

Legal requirements

We may disclose information when reasonably necessary to:

  • comply with applicable law;
  • comply with a court order or lawful regulatory request;
  • protect our rights;
  • protect customers or users;
  • investigate fraud or misuse;
  • protect the security of the Services.

Business transfers

If Tellerdesk or Mindscope FZC is involved in a merger, acquisition, restructuring, financing, or sale of business assets, information may be transferred as part of that transaction where legally permitted.

12. Data separation and access controls

Tellerdesk is designed to maintain separate business workspaces. Access to information is controlled based on authorised user roles and permissions.

Depending on the customer's configuration, users may have different levels of access to:

  • conversations;
  • contacts;
  • reports;
  • settings;
  • teams;
  • channels;
  • customer information.

Tellerdesk's security controls include separation between business workspaces, enforced role permissions, and scoping of each user's access to the data they are authorised to see.

13. Data security

We use technical and organisational safeguards designed to protect information processed through Tellerdesk. Platform protections include:

  • separate business workspace controls;
  • role-based access;
  • user permission controls;
  • encryption of connected-service credentials and tokens at rest;
  • hashing of API keys;
  • verification of supported incoming service requests;
  • protection against certain unsafe remote content requests;
  • private storage of email attachments;
  • access restrictions based on the owning business workspace.

No internet-based platform can guarantee absolute security.

Customers are responsible for maintaining the confidentiality of their account credentials and ensuring that only appropriate users are granted access to their workspace.

14. Data retention

We retain information only for as long as reasonably necessary to:

  • provide the Services;
  • maintain customer accounts;
  • comply with applicable legal requirements;
  • resolve disputes;
  • maintain security records;
  • enforce contractual obligations.

Different categories of information may have different retention periods.

Where Tellerdesk processes information on behalf of a business customer, retention may also depend on that customer's configuration, instructions, contractual terms, and applicable law.

We may retain limited records for legal, accounting, security, or fraud-prevention purposes after other data has been removed.

15. Data deletion

Business customers may request deletion of eligible information associated with their Tellerdesk account, subject to legal or contractual retention requirements.

Users of Meta-connected services may also follow the applicable data-deletion process provided through Tellerdesk.

For privacy or data-deletion requests, contact info@mindscopesolutionsfzc.com.

16. International data transfers

Tellerdesk may use service providers or infrastructure located in countries other than the country in which a user or business customer is located.

Where applicable law requires safeguards for international transfers, appropriate measures will be used as required.

Business customers are responsible for determining whether their use of Tellerdesk and connected services meets any specific data-localisation or international-transfer requirements applicable to their business.

17. Cookies and similar technologies

Tellerdesk websites and applications may use cookies or similar technologies. These may include:

  • Essential cookies — required for login, authentication, session management, security, and core functionality.
  • Analytics cookies — where used, these help us understand how the websites or Services are being used.
  • Preference cookies — where used, these may remember user settings or preferences.
  • Marketing cookies — where used and legally permitted, these may support marketing or measurement activities.

Where legally required, non-essential cookies will be subject to appropriate consent controls.

18. Customer responsibilities

19. Your privacy rights

Depending on applicable law and your location, you may have rights such as:

  • requesting access to personal information;
  • requesting correction of inaccurate information;
  • requesting deletion;
  • requesting restriction of certain processing;
  • objecting to certain processing;
  • requesting portability of eligible information;
  • withdrawing consent where processing is based on consent;
  • submitting a complaint to the appropriate data protection authority.

If your information is processed by a business using Tellerdesk, you should normally contact that business first, because it may be the organisation responsible for responding to your request.

Where appropriate, Tellerdesk will assist its business customers with privacy requests relating to information processed through the Services.

20. Children's privacy

Tellerdesk is designed as a business communication platform and is not intended to be provided directly to children as a consumer service.

We do not knowingly create Tellerdesk business accounts for children.

If you believe personal information relating to a child has been processed improperly through Tellerdesk, contact the relevant business customer or contact us.

21. Third-party services and links

Tellerdesk may integrate with or provide links to third-party platforms. Those third parties operate under their own privacy policies and terms.

Tellerdesk is not responsible for independent processing carried out by third-party services outside our control.

Customers should review the privacy terms of any external service they connect to Tellerdesk.

22. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect:

  • changes to Tellerdesk;
  • new features;
  • changes to connected services;
  • legal requirements;
  • changes to our privacy practices.

The current effective date will be displayed at the top of this policy.
